sells high-technology instruments and systems. Due to rising competition and increasing demand for quality, PSI implemented total quality management (TQM), meaning many employees received training, while several quality initiatives were
launched. PSI then decided to extend TQM to its order entry department, which is responsible for preparing quotes for potential customers and
processing orders. Order processing is an important function to the company - this is the first process in the chain of operations after an order is received from a customer.
If the order entry department has high-quality output, this reduces the chances of mistakes later in the process, allowing PSI to deliver higher-quality systems more quickly and inexpensively, which fit
into the TQM goals of timely delivery and low cost. However, one of the main problems impacting PSI involves order entry.
While the companys sales representatives are responsible for forwarding requests for quotations to the order entry department, actual orders for systems come directly from the customers -- in addition, orders
for parts are also received directly from the customers. When it comes to service-related orders for parts or repairs however, the service representatives generally place these orders. Because
of this, the order entry department takes information from a variety of sources -- the sales/service representatives, the final customers, and the technical information and marketing departments, which provide configuration
guides, price masters and other documents. Perhaps unsurprisingly, given all of the suppliers and all the information, many discrepancies occur between order entry staff, sales representatives and manufacturing -- not
