And, at times, that information needs to be made accessible to other departments in a company. This is where a human resources information system, or HRIS, comes in handy. What is an HRIS? In its most basic form, HRIS is defined as a collection of databases, hardware, software and computer applications that help a company collect, store, record, deliver, manage and manipulate data pertaining to human resources (Ngai and Wat, 2006). A survey conducted in the late 1990s showed that 60% of Fortune 500 companies rely on HRIS to help support daily human resource management activities and operations (Ngai and Wat, 2006). Such systems are used for administrative purposes, and also for strategic purposes, as well as for assistance in business decision making (Ngai and Wat, 2006). Kovach et al (2002) point out other benefits including competitive advantage, the production of necessary reports and the shift of focus from transaction processing to strategy. Research has also been conducted, demonstrating that effective design and implementation of a human resources information system (HRIS) can help in many areas, such as staff retention and management, training, allocation of resources (including human resources) and overall productivity (Beulen, 2009). Companies that have implemented such systems successfully point out that they have been able to integrate human resources into the important strategic planning areas of a business. When carefully thought out and implemented properly, an HRIS can help a company better manage its costs and its people - this, at least, is the goal of an HRIS.
